Today In TempWorks, I learned that the Search fields have the ability to do “Wild Card” searches. This can be used in Alpha fields such as Customer Name or Employee Last Name. Not only can this be used in the Searches, it can also be used in Alpha fields when running reports.

To use a “Wild Card” search, you simply need to enter a % sign at the beginning of your text. This will indicate to TempWorks that you want to search for that series of characters anywhere in any word in the associated field you are doing the search on.

In my example below, I searched on %EA. The returned results found the EA in Real, Health and Seasons.

<img class="alignnone size-medium wp-image-1713" title="Today In TempWorks I Learned...
This feature is particularly useful when looking up employees with difficult to spell names, or if you are unsure how a company’s name was entered into the Customer Name field.

Mari started working at the company in 2006 in the tax department while still holding down a serving job at Old Chicago.

Since then she has taken on a number of extremely important roles in the growth of the company:

Mari was one of the first to run the Paperless department. These were hectic days when we only had a few borrowers, and didn’t really know what we were doing yet. This division of the company now has over 60 clients and produced $295,000 of revenue in the month of April.

Mari managed and finished a project for a company that was four times larger than the next smallest TempWorks customer at the time. This was in an industry where we had no customers. The project involved fifteen people from TempWorks working nearly around the clock for a year, and is the most profitable client in company history.

If it weren’t for that project being so successful, the customer wouldn’t have referred us to one of the nation’s largest staffing companies in the United States. Mari managed this project from end-to-end, completing the largest geographic roll-out of any software package in company history. 125 Branches in 30 states.

Mari took over our Implementations Department in the spring of 2011, whipping the department into shape and making it possible for us to do implementations faster and at a lower cost than any of our competitors. This has allowed the sales team to close over 30 new contracts since the start of this year. This was like taking prime $21.99/lb T-Bone steaks and figuring out a way to sell them inside of a $2.99 McDonald’s happy meal at a profit.

Her new responsibilities include:

Management responsibility for Technical Support Department, headed by Melanie Kramer.

Management responsibility for Account Management Department, headed by Susan Wurst.

Management responsibility for the underwriting and implementation of new funding clients.

Mari has created at least 30 new jobs at TempWorks since 2008.

How many people are needed

Not a big deal… however… if this Customer often calls in similar Orders over and over, you can create a Master Order which can be copied over and over.

Simply create the Order as the Customer calls it in. Change the Order Status from “Unfilled” to “Master”. Now when the Customer calls in the Order, instead of starting from scratch simply search for the Master Order:

Once you have opened the Master Order copy it by clicking the Actions Button:

Once the Master Order has been copied, change any data on that Order to fit your needs at this time.

However, problems can possibly arise if staff is not aware and careful about what Worker Comp Codes are used. With our busy schedules it is easy enough to select the incorrect Worker Comp Code.

To help ensure the correct Worker Comp Code is selected the Worker Comp Codes can be limited per Customer record. Within the Customer Defaults area select Worker Comp Codes. Add the “Worker Comp Codes” you would like to be accessible for any Order placed for this Customer.

*Note – Worker Comp Codes can be set to default specifically for a Customer Department as well.

If these Worker Comp Codes should be used for this Customer‘s Departments be sure to select the box: Apply Worker Comp to Departments.

As long as the Default Codes are set and the Use Default Worker Comp box is checked, these are the only Worker Comp Codes that will be selectable on each Order the Customer places.

One of the most underutilized but most powerful tools in TempWorks Enterprise is the Candidate Worksheet. It allows you to manage all the Candidates for one job in one place – and on one screen. This allows for one point of reference for all activity which has taken place while trying to fulfill the job. Not only will you be able to track your efforts but others will easily be able to see where you are in the process.

The Candidate Worksheet can be found within the Order:

*Note - if a Candidate has a status of “WCandidate” it means they have been asked to be considered for this job and placed themselves on the Candidate Worksheet. (Of course, this only applies if you subscribe to and are using the TempWorks Online Application.)

*Note - if a Candidate has a status of “VCandidate” it means your Vendor submitted that Candidate to this job. (Of course, this only applies if you are in Vendor relationships with other Staffing Companies.)

From the Candidate Worksheet, manage Candidates by double clicking on their name. This will open the Status form:

Change the Status field accordingly, add any notes you may want to document and even enter a Ranking if this person is a preferred Candidate.

Right Click on the Candidate’s name for additional options:

From here you can Assign the Candidate or navigate to their record. Edit their Candidacy or Change their Status. You can email or text to the Candidate. Deleting the Candidate will remove them from this list but they will remain an active “Employee” within TempWorks. Preview Resume does just that, opens their Resume so you can review it. You can create a follow up Task. And lastly, Navigate To allows you to navigate directly to any form within that Candidate’s record.

In the upper right corner of the Candidate form there are several more options. The “Arrow” Icon allows you to email any Resume of any Candidate who is being considered for this Order. This will attach the Resume in it’s original format to an outgoing Email with the Supervisor of the Order as the recipient.

From here you can also Email to all Candidates (as opposed to emailing them individually). From here you can Assign a Candidate, remove the Candidate from the Worksheet. If you subscribe to Call-Em-All you’ll be able to send announcements and/or surveys right from the Candidate Worksheet.

The Candidate Worksheet will always remain within the Order. This allows you to see who has been considered for what jobs, it allows for quicker refills and it allows you to accurately track time-to-fill numbers.

There is an area in TempWorks where you’ll be able to view all Candidates of all Orders. From the Navigational Tree click on All Options the select Job Candidates:

Here you’ll be able to view all Candidates who were considered for All Jobs including the last status they held while being considered for that job. And be able to filter based on the Employee as well as the Client.

For more information about the Candidate Worksheet please contact the TempWorks Training Department at Trainers@TempWorks.com.

My Mom was awesome, she always told me I was her Favorite. Of course, she always told my brother he was her Favorite. Then I found out that she had always told my sister that she was her favorite. What was fantastic is that we grew up feeling special and feeling like each one of us were her favorite.

So, do you have Favorites??? Are there Employees who are your Favorites? (yes, of course, the “P.C.” answer to this is a resounding, “NO!!” however, we all know we have favorites!!)

In TempWorks Enterprise you can “flag” Employees as being “Favorites” so they are always at your fingertips.

All you have to do is click the Star in the Avatar area of the Employee’s record to add them to your Favorites list.

Once you have made an Employee a Favorite you will be able to view your favorites by clicking again on the Star in the Avatar area or on the Star in the navigational tree:

If you no longer want that Employee as a Favorite you can remove them by clicking the X next to their name in the Favorites:

Not only can the Employee record be made a Favorite but you can make other records Favorites:

Customers

Orders

Contacts

Assignments

Actually, any Form in any of those records can be made Favorties. Once that form or record is made a Favorite they will always be at your fingertips.

Probably my Favorite feature of Favorites is… if you are using TWMobile you can also access your Favorites quickly and easily!!

*Note – I have one client who refers to this area as their “Unfavorites” because she uses the Employee Favorites for those people she wants to use only with caution. Feel free to use this however you see fit!

For more information about Favorites, TempWorks Enterprise, TWMobile or anything else, please feel free to contact the Training Team at: trainers@tempworks.com.

Do you have documents you need to deliver to an employee or a client? Do you present resumes to clients? Do you send welcome packets to candidates? Do you send job descriptions to employees? Do you send marketing pieces to your prospects?

If you answer yes to any of these please know that you can attach all of these types documents (and more) directly within TempWorks Enterprise using the Email system.

When viewing any person’s record you can simply click the email icon and launch an outgoing email to that person. From there you can click to attach a document from within TempWorks Enterprise or from your computer or shared drive:

You can also email to a group of people (search result) and attach documents to that email, “hitting” many people at once.

When viewing the Document area of any record (Employee, Customer, Contact or Order) click on the email icon and that document will become an attachment to that email.

There are numerous other ways to use the email attachment in TempWorks Enterprise, from the Order Candidate area you can attach Resumes to the Supervisor of the Order, from the Contact search results email a document to all of the Contacts, email a document to all Employees working on an Order, to all the Employees working at a Customer, etc…

Another very useful way to attach documents to an Email is from the Email Template Manager. An Email Template can be created which can be used over and over again and it can have an attachment (or multiple attachments) that go every time that Email Template is used. This can be used in many ways, one of which would be a Welcome Letter which goes out to all Candidates who have registered this week… Attached to that Welcome Letter can be all the documents that Candidate needs.

For more information about attaching documents to Email, or any other functionality, please contact our Training Department at trainers@TempWorks.com.
